AIRC 103 (Gathering Place): smart room instructions

American Indian Resource Center (AIRC) room 103 seats 75 people around loose tables and chairs.

This magnificent room has many technology configurations, including being a designated Zoom room.  Please contact ITS to schedule a consultation or to request a technician to help you prior to your next event.

The touch screen panel is located to the left of the fireplace in the room. The wall plate for connecting a laptop to the system is located beneath the drop-down screen at the front of the room.

Connecting a laptop
  1. Turn on the touch screen panel by tapping it anywhere. Tap the Wallplate icon on the touch panel to turn on the projector and deploy the screen.
  2. Connect the HDMI cable from the wallplate beneath the screen to the HDMI port on the laptop. A USB-C adapter is provided if the laptop does not have an HDMI port. 
  3. If your laptop image isn't automatically projected within 10 seconds, configure the laptop to send video output to a second display (Windows key + P, or choose Screen Mirroring on Macs).
Using the Zoom room features
  1. Turn on the touch screen panel by pressing it anywhere. Tap the Zoom PC icon on the touch panel to turn on the projector and deploy the screen.
  2. The projected image will show the status of the Zoom room PC, and provide a Sharing Key for participants to join the Zoom room. Note - participants joining the meeting FROM INSIDE THE ROOM need to disconnect from the Zoom meeting audio, or a feedback loop/echo will result. 
  3. Use the iPad Zoom controller (stored in the room next door) to control the Zoom meeting, including unmuting the room microphone, activating cameras, and managing host tools.
  4. Join the Zoom meeting/webinar wirelessly from a laptop to host the meeting. A host joining from in the room must disconnect from the Zoom meeting audio on their laptop and let the room audio handle mics and speakers.
Using the DVD player
  1. Turn on the touch screen panel by pressing it anywhere.
  2. Tap the BluRay icon to select that video input for the system. The screen should deploy and the projector should turn on.
  3. The BluRay player is in the equipment rack in the room next door. Insert the DVD, and use the controls on the touch screen to control the player, or use the Denon remote control. 
  4. Adjust the volume on the touch screen.
Using the microphones
  1. The hand-held and lapel mics are located in a charging cradle in the room next door. All mics can be used at the same time, if desired. Be sure to turn the mic on and unmute it. Please turn the mic off and return it to the charging cradle after use.
  2. There are several wired microphones stored in the lower part of the cabinet next to the emergency exit door (south side of building). Wired mic jacks are located at the front of the room, the back of the room, and below the touch panel.
Turn off the system
  1. Tap the shut down button on the touch screen panel.
  2. Confirm or cancel the shutdown.
