How do I use my Mitel office phone?
Answer
Feature Functions of our MITEL IP Phones:
1. Display
2. Ring/Message Indicator. Flashes to signal an incoming call and to indicate a message waiting in your voice mailbox.
3. Volume, Speaker and Mute Controls
- (UP) and (DOWN) provide volume control for the ringer, handset, headset or hands free speakers.
- (SPEAKER) enables and disables Hands free mode.
- (MUTE) enables Mute, which allows you to temporarily turn your phone’s handset, headset or hands free microphone off during your call.
4. Fixed Function Keys – Give you access to the following phone functions:
- (SETTINGS): provides access to menus for your phone’s additional features.
- (CANCEL): ends a call when pressed during a call, and, if you transfer a call and discover the person is unavailable to take the call you can hit to return you to the call rather than have the transfer complete.
- (REDIAL): calls the last number dialed.
- (HOLD): places the current call on hold.
- (TRANS/CONF): initiates a call transfer or establishes a conference call (up to 6 participants).
- (MESSaGE): flashes to notify you of messages waiting in your voice mailbox. NOTE: do not press that button to access you voicemail. You have to press the Voicemail key (shown in number 7). The Ring/Message indicator also flashes wen messages are waiting.

6. Navigation Page Keys – Use to display additional pages of information.
7. Programmable Feature Keys and Softkeys. Provides 24 (on the 5330) self-labeling keys that can be programmed as speed call keys, fixed function keys, hard keys, applications, or line appearance keys, according to your communication needs. On your home page, the bottom left feature key is always your Prime Line key on the 5330 IP Phone. The top three keys are softkeys.
8. Hands free Speaker – Provides sound for Hands free calls and background music.
9. Handset – Use for handset calls. If you are in headset or hands free mode, you do not need to use the handset.
Making and answering calls
You can make a call using one of the following methods:
- Press the programmed key associated with the party you want to call
- Dial the number using the dial pad
- On campus just dial the 4 digit extension
- Off campus local numbers dial 9 and then the number
- Long distance numbers dial 8, then the number including 1 and the area code. When prompted, enter your long distance code ___________________
Phone Book
To use Phone book:
- Press the button by the word Phone Book on the display (very top button)
- Enter the last name of the desired party, as follows:
- For each letter in the name, press the appropriate key on the keypad until the letter is shown in the display. For example, if the letter C is required, press the digit 2 three times.
- Use the <— softkey to correct errors.
- If the next letter in the name is on the same digit key as the previous letter, press the —> softkey before proceeding.
- If required, press —> softkey to add a space between the first and last name.
- To make a call, press the Call softkey.
- If more than one match is found, press the Next softkey.
- If no matches exist, edit the original entry.
- Press the Lookup softkey.
Answer a call
Do one of the following:
- If your phone is ringing pick up the handset.
- Press the speaker phone button (SPEAKER)
End a call
Do one of the following:
- Press Hang Up or Cancel button (CANCEL)
- Replace the handset.
- If you are in Hands free mode, press (SPEAKER)
Redial
To redial the last number that you manually dialed:
- Lift the handset
- Press (REDIAL)
Call Handling
Hold
To place a call on Hold:
- Press (HOLD)
- The indicator flashes on the line that has the held call.
To retrieve a call from Hold, do one of the following:
- Lift the handset and press the flashing line.
- Press the flashing indicator
Transfer
To Transfer an active call:
- Press (TRANS/CONF)
- Dial the number of the third part.
- Do one of the following:
- To complete the Transfer, hang up.
- To announce the Transfer, wait for an answer, consult, and hang up.
- To cancel the Transfer, press (CANCEL)
Conference
To form a Conference when a two-party call is already in place, or to add another party to an existing conference:
- Press (TRANS/CONF)
- Dial the number of the next party.
- Wait for an answer.
- Press (TRANS/CONF) .
Leave a conference:
- Hang up or press (CANCEL).

To split a Conference and speak privately with the original party:
Checking your voice mail ON CAMPUS
To check your voice mail from on campus do the following:
- Press the key labeled Voice mail.
- Follow the prompts
NOTE: Sometimes when your voice mail is flashing yet you have no voice mail messages to listen to it could be that you have a Call Me Back or Leave a Message flag on your phone. Please review the section below for more information.
Checking your voice mail OFF CAMPUS
To check your voice mail from off campus, call 755-2111. When prompted, enter your 4 digit extension. When you hear your message begin to play, press*. When prompted, enter your pass code.
