Question
Why have some of my old Notes in my Outlook account or in my Windows Sticky Note App vanished? Where did they go, and how can I retrieve them?
Answer
Over Winter Break 2024 the System Office implemented a system wide change affecting all accounts in the M365 Shared Tenant (Students, Faculty, Staff, and Shared mailboxes). Due to recent adjustments by Microsoft regarding storage limits for M365 education customers, they began enabling Automatic Archiving for e-mail. This automatic archiving continuously moves all email older than 9 months (280 days) to a folder within the user's mailbox, labeled "In-Place Archive - starid@(go.)minnstate.edu". This also affected Notes in Outlook, which you may have used/accessed via the Windows Sticky Note app.
You are able to retrieve these notes by doing the following steps:
1. Open Classic Outlook 365. You can tell if you are using the Classic Outlook 365 app by checking the toggle switch on the top right side of the screen, right under the close button that says "Try the new Outlook". If the toggle is set to "Off", you are using Classic. If it's set to "On", you are using Outlook New. Toggle that switch to Off to get back to Classic Outlook.
2. Click on the More Apps button on the left side of the screen to reveal other options.
3. Select Notes to access the Notes app within Classic Outlook.
4. Click on the down arrow next to "My Notes" to expand your list.
5. Select Notes - Online Archive - starid@(go.)minnstate.edu to view notes that are saved in your online archive.
Since the Notes app is being phased out and no longer available in Outlook "New", we recommend you transition to M365 OneNote app.
