Zoom Phone 6: Set Voicemail Greeting

This article guides faculty and staff on recording the voicemail greeting on their office extension. The process for setting a voicemail greeting for a call queue line is slightly different. Please contact ITS HelpDesk for assistance with setting a call queue voicemail greeting.

Setting your Default Voicemail Greeting

  1. Sign in to the Zoom Web App at https://minnstate.zoom.us/
  2. In the left menu, choose Phone.
  3. Your default tab should be the Settings tab. If not, click the Settings tab near the top of the page.
  4. Scroll down a bit to the Call Handling section, indicated by the light gray horizontal bar.
  5. Here's where you set your personal call availability hours, which may differ from your office hours or call queue line hours. You can also set busy signal instructions, and voicemail forwarding instructions.
  6. Near the bottom of the Call Handling section, you'll see Greeting & Leave voicemail instruction. Click the Default link to hear what is set by Zoom automatically. 
  7. Click the small Edit link to the right of the Default greeting to see a small pop-up menu.
  8. Click Add Audio in the Edit menu. A new window opens:

There are three tabs in the Add Audio window

Text to Speech (your words, Zoom's voice)

This is a great option if you find yourself stumbling over words as you record your voice. If you can type out your message, Zoom will read it to your callers.

  1. Enter an Asset Name for your new message. Use something that make sense to you, such as "Lisa's normal voicemail greeting".
  2. Choose a Category for this asset...or leave the default selection of Voicemail greeting.
  3. In the Message to play field, type the message you want callers to hear when they reach your voicemail. You can run a test by clicking the "Play" icon/link in the lower left of the text field after you've typed something in. At this time, you can also choose one of 13 different Zoom voice options.
  4. Keep Visibility on Personal Audios, unless you want your message to be found in the public asset library.
  5. Click Add to store this message as your new default voicemail greeting.

Upload (file recorded outside of Zoom)

If you have an MP3 or WAV audio file saved to your computer, you may upload it here in place of a text to speech or voice recording. Abide by the copyright on any file you upload.

Record by Computer (record your voice in Zoom)

You may record your own voice message greeting here. 

  1. Enter an Asset Name for your new message. Use something that make sense to you, such as "Lisa's recorded voicemail greeting".
  2. Choose a Category for this asset, such as Voicemail greeting.
  3. Select the recording language.
  4. Ensure you have a microphone ready to receive your voice, and click the circular red icon in the Record Audio section.
    1. Your browser may alert you to a request to access your microphone. You may allow once or always for this browser session. 
    2. Once you've allowed microphone access, recording will begin. 
    3. You may record again as many times as you like.
  5. Keep Visibility on Personal Audios, unless you want your message to be found in the public asset library.
  6. Click Add to set it as your default voicemail greeting.

At any time, you can return to these settings and choose a different greeting by clicking the Edit link, and then Choose from asset library, to select from greetings you have created and saved in the past.

Special greetings can be recorded for Closed Hours, Break Hours, and Holiday Hours similarly on that same settings page.
